MS OFFICE Excel View Menu

 

VIEW

workbook views

Normal view->view the document in normal view

Page layout->view the document as it will appear on the printed page

Page break view->view the preview of where pages will break when this document is printed

Custom Views-> save a set of display and print settings as custom view

Full Screen->view the document in the full screen mode

Show/Hide

Ruler->view the rulers used to measure and lines, up object in the document

Gridlines->show the lines between rows and column in the sheet to make editing and reading

Message bar->open the message bar to complete and required action on the document

Formula bar->view the formula bar which you can enter text and formulas in the cell

Headings->show row and column in the headings

zoom

Zoom -> open the zoom dialog box to specify the zoom level of the document

100% -> zoom the document 100% of the normal size

Zoom to selection->zoom the worksheet show that the currently selected range of cell fills the entire window

WINDOW

New Window -> open a new window containing a view of the current document

Arrange All -> tile all open program window side-by-side on the screen

Freeze pane->keep the portion of the sheet visible while the rest of the sheet scroll

Split -> split the current window two parts so that you can view different section of the document

Hide->hide the current window so that it cannot be seen

Unhide->unhide any windows hidden by the hide window

View Side By Side -> view two documents side-by-side so that you can compare the document

Synchronous Scrolling ->  synchronous the scrolling of two document so that they scroll document

Reset Window Position -> reset the window position of the document being compared side-by-side so that they share the screen quality

Save workspace->save the current layout of all windows as workspace so that it can be restored later

Switch Windows -> switch to a different currently open window

REVIEW MENU

PROOFING

Spelling&Grammer (F7) -> check the spelling&grammer of text in the document

Research  (ALT+CLICK)-> open the research task pane to search through reference materials

Thesaurus (SHIFT+F7)  -> suggest other words with a similar meaning to the word you have selected

Translate -> translate the selected text in to a different language

cOmment

New Comment -> add a comment about the selection

Delete -> delete the selected comment

Previous -> navigate to the previous comment in the document

Next -> navigate to the next comment in the document

Show/Hide Comment->show are hide the comment attached to the selected cell

Show All Comments->display all comment in the sheet

cHANGES

 Product Sheet->you can specified password that can be entered to unprotect the sheet and allow this changes

Product Workbook->restrict access to the workbook by preventing new sheet from beginning created

Share Workbook->allow multiple to work in a workbook at the same time

Product Share Workbook-> share the workbook and protect it password at the same time

Allow uses to edit ranges->allow specify people to edit ranges of cell in a protected workbook or sheet

Track changes->track all changes made to document including insertions, deletions, and formatting changes

DATA MENU

get EXTERNAL DATA

From access->import data from a Microsoft access database

From web->import data from a web page

From text->import data from a text file

From other source->import data from other data source

Existing connection->connect to an external data source by selecting from a list of commonly used source

connection

Refresh all(ctrl+alt+f5)->update all the information in the workbook that is coming from data source

Connecting->display all connection in the workbook

Properties->specify how cell connected to a data source will update, what content from the source will be displayed, how to changes in the number of rows or column in the data source will be handled in the workbook

Edit link->view all of the other files spreadsheet to linked so that you can update or remove it

Sort&Filter->you can sort the selected data in ascending or descending order or  you can temporarily filter out specific values

Data validation

Data validation ->prevent invalid data from the being entire the cell

Circle invalid data-> it can be circle invalid data to the workbook views

Clear validation circles -> it can be circle and clear invalid data to the workbook views

Consolidate->combine values from multiple ranges in to one range

What-if-analysis

Scenario manager->scenario manager allows you to create and save different group of values or scenarios and switch between them

Goal seek->goal seek will find the right input when you know the result you want

Data table-> data table allows you to see the result of many different possible inputs at the same time

OUt LINE

Group ->Tie a range of cell together so that can be collapsed or expanded

Ungroup->ungroup a range of cell that were previously grouped

Subtotal->total several rows of related data together by automatically inserting subtotals and totals for the selected cells

Show detail->Expand a collapse group of cells

Hide detail-> collapse group of cells

FUNCTION&LIBRARY

INSERT FNCTION  (SHIFT+F3)-> edit the formula in current cell by choosing function and editing the arguments

£ AUTOSUM-> total ,average, count, maximum, minimum

RECENTLY USED-> browse and select from a list of recently used function

Text

code-> return a numeric code for a first character in the text string, in the character  EX:(Code A=65,Code a=97)

concatenate->joins several text sting in to one text string EX:(Text-a,p,p,l,e = apple)

dollar->convert to number in text , using current format EX:( Number 45 = Rs 45.00)

left->return the specify number of character from the start of text string (Text-aravind,num-of-characters- 4 = arav)

length->return the number of characters in a text string(Text - aravind =7)

lower->convert all letters in a text string to lower case (Text - ARAVIND =aravind)

mid->return the character from the middle of a text string, given a starting position with length (Text - dhineshkumar,start-num-8,num-of-chars-5=kumar)

replace->replace part of the text string with a different text string(Oldtext-Rohith,starting-num-3,no-of-chars-1,new text = Rokith)

repeat-> repeat a text given number of times use repeat to fill a cell with a  number of instance of a text string(Text-Siva,no-of-times-2=SivaSiva)

right->return the specified number of characters from the end of text string(Text-Arjunkumar,num-of-chars-5=kumar)

upper->convert a text string to all upper case letter

(Text-vishnu =VISHNU)

 

DATE&TIME

 

Now->return the current date and time formatted date and time(current date and current time ex:21/08/2023.13.22)

Today->return the current date formatted as a date(current date ex:21/08/2023)

Time->covert as hour,minute,second given as a number to an excel serial number formatted with a time format(hour-5,minute-34 ,second-25 = 5:34am)

Year->return the year of date with a year format(show an current year = 2023)

defined name

Name manager (Ctrl+f3)->create,delete,edit and find all names used in the workbook

Define name->name cell so that you can refer to them in formulas by that name

Use in formula->choose a name in this workbook and insert in to current formula

Create from selection(Ctrl+Shift+f3)->Automatically generates name from the selected text

formula aditing

Trace precedents-> show arrow that indicate what cells affect the value of the currently selected cell

Trace dependents-> show arrow that indicate what cells affected the value of the currently selected cell

Remove arrow->remove the arrow drawn by trace precedents or trace dependents

Show formula->display the formula in each cell instead of the resulting value

Error checking->check for common errors that occurs in formula

Evaluate formula->the evaluate formula dialog box debug a formula by evaluating each part of the formula individually

Watch window-> the values is displayed separate window that remains visible , regardless what area of the workbook

Calculation option->specifies when formulas are calculated

Calculate sheet-> calculate the entire workbook now

Calculate now->calculate the current sheet now

THEMES

 

THEMES -> change the over all design of the entire document including colors, fonts, effects

COLORS -> change the colors for the current theme

FONTS -> change the font for the current theme

EFFECTS -> change the effects for the current theme

page setup

MARGIN -> select the margin size for the entire document or current position

ORIENTATION -> switch the page between portrait and landscape layout

SIZE -> choose the paper size of the current position ex:letter,A4,legal,A5,B4(jis)

Print area->make a specific area of the sheet for printing. we can select specify path and give set print area and if you printing after you can select clear print area

BREAK -> add page ,section ,or column break to the document ex: page, column, textwrapping, next page , continuous ,evenpage, oddpage

Background -> choose an image to display as the background of sheet

print title -> specify row and column to repeat on each printed page

scale to fit

WIDTH -> set the width of the selected cell

HEIGHT -> set the height of the selected cell

SCALE -> the maximum width and height must be set to "automatic" to use this feature

sheet option

GRIDLINES

view-> show the lines between row and column in the sheet to make editing and easier

print -> print the lines between rows and column in the sheet make  editing and easier

HEADINGS

view-> row heading row number to the side of

the sheet

print -> column heading row number to the side of

the sheet

arrange

BRING TO FRONT -> bring the selected object in front all other object so that no part of its hidden behind another object

SEND TO BACK ->send the selected object behind all other object

SELECTION PAGE -> show the selection pane to help select the individual object and to change their order and visibility

Align -> align the edges of multiple selected object

GROUP -> group object together so that they can be treated like a single object

ROTATE -> rotated or flip to selected object
